Custom Field Feature Guide

The custom field feature allows you to add additional, custom information fields to tickets or orders within an event. This is particularly useful for managing event-specific data, such as assigning bib numbers in a race event or recording custom attributes. Here’s how you can set up and use custom fields.

1. Accessing Custom Fields

  1. Go to the Create Event page on the dashboard.

  2. Navigate to the Custom Fields tab at the top menu.

  3. You will see options to create custom fields for Tickets or Orders.

2. Creating a Custom Field

  1. Select Tickets or Orders to define where the custom field applies.

  2. Choose a field type:

    • Text Area: For free-text input.

    • Dropdown: For a predefined list of options.

    • Sequence: For sequential numbering, like bib numbers.

  3. After selecting a field type, configure it as needed:

    • Enter a field name (e.g., "Bib Sequence").

    • Choose Sequence Properties if you selected the Sequence type:

      • Prefix and Suffix: Add text or numbers that will appear before or after the sequence number.

      • Sequence Start: Define the starting number for the sequence.

      • Offset By: Increment value for each subsequent number in the sequence.

      • Padding: Specify the minimum number of digits by adding leading zeros if needed.

      • Sequence End: Define the last number in the sequence.

    • (Optional) Check Include in Ticket PDF to display this field on the PDF version of the ticket.

  4. Click Done to save your custom field.

Example: Setting up a Bib Sequence

For a running event, you may want each participant to have a unique bib number:

  1. Go to Custom Fields > Tickets.

  2. Choose the Sequence field type and name it "Bib Sequence."

  3. Configure the sequence properties:

    • Prefix: 1

    • Suffix: 9

    • Sequence Start: 1

    • Offset By: 1

    • Padding: 3 (e.g., 001, 002)

    • Sequence End: 10000

  4. Save the custom field.

The custom bib numbers will now appear under each ticket record in the sequence you defined.




The Dropdown custom field can also be used to let organizers assign specific tags or statuses to each attendee’s ticket or order. This is particularly helpful for managing statuses like "Bib Collected," "Bib Generated," or "Bib Lost" in events where such tracking is necessary.

Guide to Create a Dropdown Custom Field for Tags

  1. Go to the Custom Fields section in the Edit Event page.

  2. Select Tickets (or Orders, if the field applies to the entire order).

  3. Click on the Dropdown field type.

  4. Enter a descriptive Field Name (e.g., "Bib Workflow" or "Bib Status").

  5. Configure the dropdown options for the tags:

    • Enter each tag or status you want to assign, such as:

      • "Bib Generated"

      • "Bib Collected"

      • "Bib Lost"

    • Add as many options as you need by typing each one in the option entry field.

  6. (Optional) Check Include in Ticket PDF if you want this field to display on the ticket’s PDF copy.

  7. Click Done to save your custom field.

Example Use Case: Tracking Bib Status

For an event where each attendee receives a bib, you can manage the bib collection and status as follows:

  1. Create a Dropdown field named "Bib Workflow."

  2. Add options like:

    • Bib Generated

    • Bib Collected

    • Bib Lost

As attendees complete different steps, organizers can update their ticket status using the dropdown, making it easy to keep track of bibs.

3. Viewing Custom Field Data

Once custom fields are set up, you can view and edit the information associated with each ticket or order.

  • Go to the Events section and open the Custom Fields view.

  • Here, you’ll see a table with details like Ticket IDEmailSequence Number, and any other custom fields.

  • You can search or edit values directly within this view.

  • Locate the ticket you want to update and click Edit.

  • In the dropdown menu under Bib Workflow (or your chosen field name), select the appropriate tag, such as "Bib Collected," "Bib Generated," or "Bib Lost."
