Introduction

The Ticmint Access Control App is designed to simplify and streamline the process of managing attendee entry at events. One of its most critical functions is ticket scanning, which allows organisers and staff to validate tickets quickly, accurately, and securely at the venue.

Instead of relying on manual checks or printed lists, this app enables real-time QR code scanning, ensuring that every attendee is verified instantly. The system is built to handle both small gatherings and large-scale events, making it a reliable solution for smooth entry management.

  1. Login Screen (Starting Point of Access)

This is the very first screen where you begin your journey into the app.

The login system is designed to be extremely simple, fast, and secure at the same time, ensuring that users can access the app without dealing with complex passwords while still maintaining controlled and authorised access. This reduces delays at the entry level and allows staff to begin their scanning duties without confusion or technical barriers quickly.

What you see:

  • “Log In” heading

  • Email input field (example: bifebi8754@hacknapp.com)

  • “Log In” button

What you do:

  • Enter your registered email

  • Tap Log In


  1. OTP Verification Screen



The OTP verification step ensures a high level of security while keeping the process quick and user-friendly, allowing only verified users to proceed further. This approach eliminates password dependency and ensures that access is granted only to individuals with control over the registered email, making the system both secure and efficient.

What you see:

  • Message: OTP sent to your email

  • 6-digit input boxes

  • Buttons: Verify and Resend OTP

What you do:

  • Enter OTP received via email

  • Tap Verify


  1. All Events Dashboard


This dashboard provides a clear and structured overview of all events, enabling users to quickly identify the correct event and understand its ticket status before proceeding. By displaying ticket counts and progress visually, it helps staff anticipate crowd size and prepare accordingly, reducing operational errors and confusion during busy event entry.

What you see:

  • “All Events” heading

  • Tabs: Upcoming / Past

  • Event cards with:

    • Name (e.g., ROAST & TOAST)

    • Date & time

    • Venue

    • Ticket count (e.g., 5/600)

    • Progress bar

  1. Event Overview & Permission Status

  • Overview Dashboard Screen


This screen provides a real-time overview of the event performance for the organiser. It displays key event information including the event name, date, time, venue, total tickets sold, remaining capacity, and the number of successful check-ins. The dashboard allows organisers to quickly monitor event activity and occupancy status at a glance.


These analytics and management features are only visible when logged in as an Event Organiser. Users logged in as Validators or scanning staff cannot access these insights or administrative controls. This strict role-based access control ensures that only authorised personnel can view sensitive event analytics and perform operational actions such as ticket scanning and check-in management. It helps prevent unauthorised access, protects event data, and maintains operational integrity.


  • Ticket Sales Screen


This section gives organisers a detailed breakdown of ticket sales performance. It shows the total number of tickets sold against the event capacity in real time. The circular graph visually represents the distribution of ticket sales across different ticket categories such as VIP Early Bird and General Pass Early Bird.


Only Event Organisers can access this sales analytics dashboard. Validators do not have permission to view sales data or ticket performance reports. This ensures that sensitive sales and revenue-related information remains restricted to authorised management users only.


  • Check-in Overtime Screen


This screen tracks attendee check-in activity over time. It displays the total number of successful check-ins along with the percentage of attendees checked in compared to tickets sold. The line graph provides a visual representation of check-in trends across specific dates and times.


This feature is exclusively available to Event Organisers for monitoring crowd movement and operational performance. Validators can only scan and validate tickets but cannot access analytical dashboards or attendee trend reports.


  • Section Performance Screen


The Section Performance dashboard provides insights into the performance of individual ticket sections or categories. It displays the number of tickets sold, remaining capacity, and successful check-ins for a selected section such as Early Bird tickets.


The circular chart visually represents the contribution of each ticket type within that section, helping organisers analyse sales distribution and attendee engagement. Access to this section is restricted to Event Organisers only, ensuring that ticket category analytics and operational insights remain secure and accessible only to authorised management personnel.

What you see:

  • Event name, date, venue

  • Ticket stats:

    • Sold (5/600)

    • Remaining (595)

    • Checked-in (0)

  • Message: No required permissions

What you do:

  • Contact admin/support to enable scanning access


  1. Orders List

The Orders List acts as a powerful backup and support tool, allowing staff to manually search and verify tickets when scanning is not possible. This ensures that customer issues can still be resolved smoothly and no attendee is denied entry due to technical limitations such as QR scanning failure.

The system also follows strict role-based access control to ensure users only have access to actions relevant to their responsibilities.

Validator View

When logged in as a Validator, users can:

  • Search and view ticket orders

  • Verify ticket information

  • Resend tickets to attendees if required

Validators cannot cancel tickets or access organiser-level management controls.

Organiser View

When logged in as an Event Organiser, users have additional permissions including:

  • Viewing and verifying ticket orders

  • Resending tickets

  • Cancelling tickets when necessary

This ensures organisers maintain full operational control while validators remain focused on attendee entry and ticket verification.

What You See:

  • Search bar (email/order ID)

  • Status filter

  • Order list with:

    • Order ID

    • Quantity

    • Status (Success / Failed / Pending)

    • “View Details” option

What You Do:

  • Search and open any order if needed

  • Resend tickets to attendees

  • Cancel tickets (Organiser access only)



  1. Order Details (Detailed Ticket Information)


This screen provides complete transparency into each ticket, helping staff verify authenticity, check usage status, and confirm customer details instantly. It plays a critical role in preventing fraud, avoiding duplicate entry, and ensuring that every attendee is validated correctly.

What you see:

  • Order ID and status (Success)

  • Customer name & email

  • Ticket:

    • Ticket ID

    • Type (Adult Pass)

    • Status (Not checked-in)

  • Add-ons (e.g., Chicken Wings)

  • “Resend Ticket” button

What you do:

  • Verify ticket details before allowing entry

The Scanner Settings screen provides flexibility and control over how the ticket scanning process behaves, allowing event teams to adapt the scanning experience based on event size, crowd flow, and operational requirements. Whether the priority is faster entry processing or detailed ticket verification, these settings help optimise scanning efficiency and improve gate management.

What You See:

  • Scan Feedback Style


  • Quick Feedback:
    In this mode, the scanner only displays a simple success or failure message after a ticket is scanned. Full ticket details are not shown, allowing the camera to instantly reopen for the next scan. This mode is ideal for high-volume events where faster attendee entry is the priority.


  • Detailed Feedback:
    In this mode, the scanner displays complete ticket information after a successful scan, providing validators with detailed verification data before proceeding to the next attendee. This is useful for events requiring additional attendee validation or stricter entry checks.


  • Feedback Display Duration Slider (1–5 seconds)
    This setting allows organisers or validators to control how long the scan result message remains visible on the screen before the scanner automatically returns to camera mode for the next scan. The duration can be adjusted between 1 and 5 seconds depending on operational preference.


  • Scan Sound Toggle
    This option enables or disables audio feedback during ticket scanning. When enabled, the scanner plays a sound to instantly notify validators whether the scan was successful or failed, helping improve scanning speed and accuracy during live event operations.

This is the core of the entire system where ticket validation happens instantly and efficiently. The interface is designed for speed and accuracy, allowing staff to scan tickets quickly with minimal effort while ensuring real-time validation and immediate feedback for smooth entry management.

The scanner also works together with the manual verification system, which acts as a reliable backup in situations where QR scanning is not possible due to damaged QR codes, device limitations, network issues, or customer-related problems.

What You See:

  • Camera preview

  • QR scanning frame

  • Instruction: “Point the camera at the QR code”

  • Active Scan tab

  • Manual order verification options

What You Do:

  • Align the QR code within the scanning frame

  • Let the app auto-scan the ticket instantly

  • Use manual verification if scanning does not work

Manual Verification & Backup Entry Process:

If a QR code cannot be scanned, staff can use the manual order verification system to search for the attendee’s ticket using their email address or order ID.

From the Order Details screen, staff can:

  • Resend the ticket directly to the attendee using the “Resend Ticket” button

  • Manually admit the attendee by simply clicking the “Admit” button after verifying the ticket details

This ensures that attendee entry can still be managed smoothly even when QR scanning fails, preventing unnecessary delays and improving the overall event experience.

What happens:

Ticket is validated instantly:


  • ✅ Success → Entry allowed

 


  • ❌ Failed → Invalid/already used

  • ⏳ Pending → Needs approval


Box Office Screen (Organiser Access Only)

The Box Office feature is designed to help Event Organisers efficiently issue and distribute tickets directly from the Ticmint Access Control App. This feature streamlines both on-site ticket sales and pre-event ticket management by allowing organisers to create orders instantly without requiring attendees to book through the public event page.

Access to the Box Office feature is restricted to Event Organisers only. Validators and scanning staff cannot access this section, ensuring that ticket creation, payment handling, and attendee issuance remain under authorised administrative control.

The Box Office system supports multiple ticket distribution methods, making the process flexible and convenient for both organisers and attendees. Tickets can be sent directly through email for a fast and contactless experience or provided as printable tickets for attendees who prefer physical copies.

This feature is especially useful for:

  • Walk-in attendees at the venue

  • Manual ticket sales

  • VIP guest management

  • Offline booking handling

  • Last-minute ticket issuance

  • On-ground customer support

What You See:

  • Event name, date, and time

  • “Box Office” section heading

  • Ticket category sections (e.g., Early Bird)

  • Available ticket types:

    • General Pass (Early Bird)

    • VIP (Early Bird)

  • Ticket prices

  • Quantity selector with:

Ticket Distribution Options:

Once the booking is completed, organisers can:

  • Send tickets directly via email

  • Share digital tickets instantly

  • Provide printable ticket versions if required

This ensures attendees receive their tickets immediately while helping organisers manage ticket distribution quickly, securely, and efficiently during live event operations.
